ABSTRACT PREPARATION GUIDELINES

ESPID 2018 is pleased to announce its new and improved abstract submission system for the upcoming Meeting in Malmo! ​​Participants interested​​ in presenting their abstract at the Meeting are invited to submit an abstract via the abstract submission system. All abstracts will undergo peer review and may be accepted for presentation.​ Please carefully read the guidelines below: 

1. ​​​Topic and Sub-Topic Selection

Within the abstract submission system, you will need to choose one of the below topics and sub-topics for ​your abstract. The sub-topic menu will automatically appear once you have selected your topic.  To view the ESPID 2018 abstract topics and sub-topics, please click here.

Please take note of the following information when selecting your topic and sub-topic:

  • ​Sub-topics preceded by the letter “S” map to one of the plenary sessions or themed symposia of the ​Meeting. If you choose one of these sub-topics your abstract may be considered for oral presentation at the relevant symposium. 
  • Sub-topics preceded by the letters "MTP" map to one of the Meet the Professor sessions of the Meeting. Should you wish to have your abstract considered as an educational or controversial case in one of these sessions, please select the relevant sub-topic as well as the stream: Case Report or Case Series from the stream preference dropdown menu. If you choose one of these topics your abstract may be considered for case presentation in one of the Meet the Professor sessions.   • Abstracts submitte​d to sub-topics preceded by the letter “G” will be selected for general oral, e-poster discussion presentation a​nd e-poster viewing.  ​
  • Each topic will indicate in brackets which types of sub-topics (S, MTP or G) are included within the category. 
  • By selecting the right topic area and stream, you will ensure your abstract fits directly into the best suited session in the programme and achieves the highest possible impact.

​2. Stream​ Preference

After you have selected a topic and sub-topic within the abstract submission system, you will need to choose an option from one of the forms below which best describes the nature of your abstract. Selecting the correct stream will also affect the information you are asked to provide with your abstract.​​ 

  • Clinical audit, prospective survey or retrospective study​ - methodically collected information on an aspect of clinical care or management. Click here to view an example of this type of abstract.  
  • Case Report or Case Series - description of one or more cases in order to generate a useful learning experience for clinicians. Click here​ to view an example of this type of abstract. 
  • Literature review or guideline review - non-systematic evaluation of important topics in clinical PID. Click h​ere​​ to view an example of this type of abstract. 
  • Clinical trial/study or basic science study - prospective empirical data, trials, studies and entirely novel observations (but not formal systematic review or meta-analysis - see below).   • Formal systematic review or meta-analysis - If formal systematic review please indicate formal systematic review registration number in abstract. Click h​e​​re​​​​ to view an example of this type of abstract.

Before you submit your abstract, please also prepare t​he following information:

  • Presenting author's contact details

  • ​​Abstract title - limited to 25 words in UPPER CASE 

  • ​​Abstract text – limited to 280 words, including acknowledgements. (Please note that each sub-section of your abstract is limited to a specific number of words according to your stream preference). ​ We recommend using word-processing software (for example, Word) for editing your abstract and counting the number of words.​ 
  • Use only standard abbreviations. Place special or unusual abbreviations in parentheses after the full word appears the first time.​ 
  • Use generic names of drugs. Express numbers as numerals.
  • Tables and Images - You are able to add one table/figure per abstract. ​Tables and images can only be placed in certain sub-sections of your abstract, according to your stream preference. The maximum file size of each graph/image is 700 KB. The maximum pixel size of the graph/image is 600(w) x 800(h) pixel. You may upload graphs and images in JPEG format only. Please note that images/tables may be resized to fit in the final printed material.​​​​ 
  • After you submit your abstract, you can re-enter the submission link at any time to view and edit your abstract until the deadline date. Submitted abstracts cannot be modified or corrected after the submission deadline. There is no option to save the abstract as draft and to submit it at a later stage. If you do not submit your abstract, the information will be deleted.​​​

​RULES FOR SUBMISSION​


  • Only abstracts submitted via the online submission form will be sent to the Abstract Review Committee for review. Abstracts submitted by fax or e-mail will not be accepted. 
  • Abstracts must be received by the announced deadline. Abstracts received after the deadline will not be considered.​​
  • Submission of an abstract acknowledges your acceptance for the abstract to be published in the official Meeting publications.
  • Presenting authors of abstracts must be registered and paid participants. Registration must be made by the early bird registration deadline: March 27, 2018 to ensure inclusion of the abstract in the Meeting publications and in order to be scheduled for presentation.

  • Abstracts must be original and must not be or have been published or presented at any other meeting prior to the 36th Annual Meeting of ESPID.

  • All abstracts must be submitted and presented in clear English with accurate grammar and spelling of a quality suitable for publication. If you need help, please arrange for the review of your abstract by a colleague who is a native English speaker, by a university scientific publications office (or other similar facility) or by a copy editor, prior to submission.
  • The Scientific Programme Committee will endeavor to schedule abstracts according to authors' preferences but reserves the right to decide on the final form of presentation.
  • ​The presenting author is required to ensure that all co-authors are aware of the content of the abstract before submission to the Meeting.

  • ​​ESPID will publish all accepted abstracts online (open access) for a period of at least 5 years. As a condition of submission, ESPID requires you to agree to such publication and to surrender any copyright over the abstract as submitted to ESPID.

  • ​​Abstracts stating “data will be discussed in the presentation” will NOT be accepted.

  • You will receive confirmation that your abstract has been received, indicating the abstract number which it has been allocated. Please refer to this abstract number in all correspondence regarding the abstract. Please contact the Secretariat if you have not received confirmation that your abstract has been received.
  • The presenting author is expected to attend the Meeting and present the e-poster or oral presentation. The presenting author is required to ensure that all co-authors are aware of the content of the abstract before submission.  Before submitting the abstract, the abstract submitter will be required to confirm the following:
  1. ​I confirm that I previewed this abstract and that all information is correct. I accept that the content of this abstract cannot be modified or corrected after final submission and I am aware that it will be published exactly as submitted.

  2. ​Submission of the abstract constitutes my consent to publication (e.g. Meeting website, programmes, other promotions, etc.)

  3. The abstract submitter warrants and represents that he/she is the sole owner or has the rights of all the information and content (“Content“) provided to the 36th Annual Meeting of the European Society for Paediatric infectious Diseases and K​enes Group (Hereafter: “The Organisers”). The publication of the abstract does not infringe any third party rights including, but not limited to, intellectual property rights. The abstract submitter​ grants the Organisers a royalty-free, perpetual, irrevocable nonexclusive license to use, reproduce, publish, translate, distribute, and display the Content. 

  4. ​​The Organisers reserve the right to remove from any publication an abstract which does not comply with the above.

  5.  ​​I herewith confirm that the contact details saved in this system are those of the corresponding author, who will be notified about the status of the abstract. The corresponding author is responsible for informing the other authors about the status of the abstract.

Disc​losure of financial relationships that the author(s) may have with the manufacturer/supplier of any co​mmercial products or services related to the work, should be indicated in the appropriate tick box on the abstract form.


​ABSTRACT SELECTION AND PRESENTATION


All abstracts will be reviewed by the Scientific Programme​ Committee. Presenting authors will be notified via e-mail regarding the status of their abstract by mid-March 2018.​
